Using SmartClub

These terms govern your use of SmartClub Wallet, the SmartClub POS, and related services. By creating an account or using the service, you agree to these terms and any club-specific rules shown to you. If you act for a dependant, you confirm that you are authorised to manage that dependant's SmartClub access.

Accounts and authorised access

You must provide accurate information, protect your sign-in credentials, and tell us promptly if you suspect unauthorised access. Staff functionality is limited to authorised club personnel. A club may require additional proof before linking historical records, balances, memberships, or dependant relationships.

Wallets, top-ups, and fees

A SmartClub wallet is a closed-community payment facility for participating organisations; it is not a bank account and does not earn interest. Top-ups are processed through Payfast hosted checkout. Before confirming a top-up, SmartClub displays the amount credited to the wallet, any processing fee, and the total payment in South African rand.

A wallet balance changes only after payment confirmation. Pending, failed, cancelled, expired, or disputed payments are not treated as available funds. Clubs may apply their own refund, credit, purchase, and event rules where those rules are disclosed and lawful.

Purchases and clubhouse services

Product availability, pricing, fulfilment, reservations, and cancellation rules are provided by the participating club. Review an order before confirming it. SmartClub records completed financial activity in an immutable ledger and corrects mistakes through explicit reversals rather than altering posted entries.

Acceptable use

You may not misuse the service, attempt unauthorised access, interfere with another organisation's information, reverse engineer security controls, submit fraudulent payment or identity information, or use SmartClub in breach of law. We may restrict access where reasonably necessary to protect customers, clubs, the platform, or financial records.

Availability and responsibility

We work to keep SmartClub available and accurate, but connectivity, payment providers, device services, or scheduled maintenance may temporarily affect access. Nothing in these terms excludes rights or remedies that cannot lawfully be excluded. To the extent permitted by law, responsibility is limited to loss directly caused by a failure to provide the service with reasonable care.

Changes, termination, and questions

We may update these terms as SmartClub develops or legal requirements change. The effective date above identifies the current version. You may stop using SmartClub and request account deletion at any time, subject to records that must legally be retained. Questions about these terms can be sent to support@cibsmartclubs.co.za.
